WRITING NEW DOCUMENTS

Do you know who your intended readers are? Do you know how they learn and process new information? If not, your written message will likely miss the mark. Whether you are writing a report for your boss or teacher, or creating a marketing piece for the general population, you need to recognize the various strengths and weaknesses of your reader(s).

 

Example:

Are your readers linear or global thinkers? This is important since a linear-oriented report (i.e. information presented sequentially or chronologically using many details) will cause strong global thinkers to struggle. Because global thinkers are generally more interested in concepts and the "big picture" they will quickly become bored with a document that is very process-oriented. In short, their concentration will wane and they will frequently skip over key components of your written presentation in search of the information that is important to them. In the end, they will consider your report to be poorly written and difficult to read, regardless of the quality of your content.

What if you are writing for a general population, how can you know which style will be the most effective? In this case, you need to carefully incorporate both styles into your copy. Your introductory paragraph, for instance, should outline the information to be presented and describe the overall objective of the material to appease the linear and global thinker. As the readers progress through the document there should always be a clear structure to the information for the linear thinkers while frequently explaining how each detail fits within the material's objective to keep the interest of the global thinkers. The added benefit to this approach is that your readers will comprehend and retain more information since they will be receiving the information in a style that conforms to their personal way of thinking.
